A trip in Roadcase represents a multi-location journey — a run of shows, a festival weekend, or any stretch of dates where your team is on the road. Trips give you a way to group related events together and plan the full picture of a tour leg.
What is a trip?
While individual travel and lodging events track specific logistics, a trip ties them all together into a cohesive itinerary. Think of a trip as a container for a sequence of connected dates — the shows you are playing, the drives between them, the hotels along the way, and any other events that happen during that stretch.
Trips are especially useful for:
- Tour legs — A two-week run through the Southeast, for example
- Festival weekends — Travel to the festival, the performance, and the return trip
- Fly dates — A single out-of-town show that requires flights and a hotel
- Promo runs — A series of interviews, sessions, and appearances in one city
Creating a trip
To create a trip:
- Click New event on the calendar
- Select Trip as the event type
- Set the start and end dates for the trip
- Add a title and any relevant notes
- Click Save
Name your trips descriptively — something like “West Coast Run” or “NYC Promo Week” — so they are easy to identify at a glance on the calendar.
Trips on the calendar
Trip events span the full date range on your calendar, giving you a visual bracket around a block of dates. This makes it easy to see at a glance which dates belong to a particular tour leg or travel block.
Planning with trips
Trips work best when combined with the other tour planning event types:
| Event type | Role in the trip |
|---|
| Show | The performances during the trip |
| Travel | Driving legs between cities |
| Flight | Air travel to, from, or during the trip |
| Lodging | Where your team is staying each night |
By layering these events together under a trip, you build a complete itinerary that your entire team can reference.
