In the touring world, a hold is a tentative date reservation. Before a show is confirmed, there is often a back-and-forth between your booking agent, the promoter, and the venue. Holds let you track these pending opportunities on your calendar so you can see what is in the pipeline and avoid double-booking.

How holds work

A hold represents a date that is being discussed but not yet locked in. Common scenarios include:
  • A promoter has offered a date and is waiting for your confirmation
  • Your booking agent is working on routing and has penciled in a potential show
  • A festival has expressed interest but has not sent a formal offer yet
By putting holds on the calendar, your team can see which dates are in play and plan around them accordingly.

Creating a hold

To create a hold:
  1. Click New event on the calendar
  2. Select Hold as the event type
  3. Enter a title, date, and any relevant notes about the opportunity
  4. Click Save
Holds appear on the calendar with a distinct visual style so your team can easily distinguish them from confirmed events.

From hold to show

When a hold becomes a confirmed booking, you can convert it to a show. This lets you start adding deal information, schedule items, and all the other show details without losing the context from the original hold. The typical booking workflow looks like this:
  1. Hold — A date is proposed and placed on the calendar
  2. Negotiation — Deal terms are discussed with the promoter
  3. Confirmation — The date is locked in and the hold becomes a confirmed show
  4. Advancing — Technical and logistical details are shared with the venue

Managing multiple holds

During active booking seasons, you may have many holds on the calendar at once. This is normal. Use the notes field to track the status of each opportunity — who proposed it, what the offer looks like, and what the timeline is for a decision.
When you have competing holds on the same date, note the priority in each hold’s details. This helps your booking agent know which opportunity to prioritize if a decision needs to be made quickly.
