Shows are the primary event type in Roadcase. A show represents a performance at a venue and is the most feature-rich event type, supporting schedules, deals, settlements, guest lists, advances, stage plots, riders, and more.

Creating a show

To create a show:
  1. Click New event on the calendar
  2. Select Show as the event type
  3. Fill in the details:

  1. Click Save

Confirmation status

Shows can be either confirmed or unconfirmed (hold). This distinction is important during the booking process:
  • Unconfirmed shows appear on the calendar with a visual indicator (e.g., dashed border) so your team knows the date is not locked in yet.
  • Confirmed shows are solid bookings.
Toggle confirmation status at any time from the show detail page.

Show details

Once created, a show has several sections you can populate:

Schedule

Build a timeline of soundcheck, doors, sets, and other schedule items.

Deal

Track the financial deal structure (guarantee, versus, door deal, etc.).

Settlement

Run a settlement after the show to calculate payouts.

Guest list

Manage guest list requests and approvals.

Advance

Share technical requirements and logistics with the venue.

Setlist

Assign a setlist to this show.

Attendance

Track which road crew members are attending.

Expenses

Log expenses associated with this show.

Billings

When multiple artists perform at the same show, you can set up billings to define the performance order. Each billing entry includes:
  • The performing artist
  • Their billing position (headliner, direct support, opener, etc.)
The billing order determines how artists appear on the show schedule and any generated documents.

Venue association

Every show can be linked to a venue. When you assign a venue, Roadcase automatically pulls in the venue’s address, capacity, contacts, and photos. If the venue does not exist in your database yet, you can create one inline. See Venues for details.

Show documents

You can attach documents directly to a show for easy access. Common documents include:
  • Contracts and riders
  • Parking and load-in instructions
  • Local production contacts
  • Day-of logistics notes
Documents attached to a show can be marked as admin-only to restrict visibility to administrators.

Deleting a show

Administrators can delete a show from the show detail page. Deleting a show removes:
  • The show and its schedule items
  • Guest list entries
  • Associated deal and settlement data
  • Advance shares
Deleting a show is permanent and cannot be undone. Documents and expenses linked to the show are preserved independently.
