Roadcase walks you through a guided onboarding wizard when you first sign up. The entire process takes less than five minutes.

Create your account

  1. Visit the Roadcase sign-up page
  2. Choose your path:
    • I’m in a band — For individual musicians and band leaders
    • I manage multiple bands — For managers, labels, and agencies (creates an organization for you)
  3. Enter your name and email address
  4. Check your inbox for a magic link and click it to sign in
Roadcase uses passwordless authentication — no password required. Every future sign-in works the same way: enter your email, click the link.

Onboarding wizard

After your first sign-in, the onboarding wizard guides you through three steps.

Set up your artist

Create your first artist — the band, solo act, or project you want to manage.

Profile pictureUpload a photo for your artist profile (optional, max 25 MB)
Avatar colorPick from 16 colors to identify your artist in the interface
If you chose “I manage multiple bands” at sign-up, this artist is automatically linked to your organization.

Schedule your first show

Add an upcoming show to get your calendar started.

This step is optional. Click Skip for now if you do not have a show to add yet.

You're all set

Review a summary of what you just created and click Take me to Roadcase to enter the app.

Welcome tour

After completing onboarding, Roadcase shows a brief guided tour that highlights the key parts of the interface:
  1. Your calendar — The weekly view where all your events appear
  2. Create events — How to add shows, meetings, and other events (plus the Cmd+K command palette)
  3. Team management — Where to invite members and manage roles
  4. Artist settings — Where to update your profile, branding, and EPK
The tour appears once and can be dismissed at any time.

Invite your team

Once you are in the app, navigate to your artist’s team settings to invite members and crew. Each person gets an email invitation with a magic link to join. When inviting someone, you assign their role:

AdministratorBand leaders, managers, booking agents — full access to everything
MemberMusicians and performers — calendar access, availability
CrewSound engineers, techs, merch — day-of operations access
For members, you can also set their instrument (guitar, drums, vocals, etc.). For crew, you set their crew role (sound engineer, lighting tech, merchandise, etc.).
Tour managers typically need administrator access so they can manage shows, deals, settlements, and advances on behalf of the artist.
People who are invited to an artist before they sign up for Roadcase skip the onboarding wizard entirely — they go straight to the dashboard when they accept the invitation.
